Paper Presentation Information and FAQs
Do I need to be a member to present? When do I need to register for the conference?
Only members may present. Please register by March 1 for the conference - including a current membership - to assure your paper will be included in the printed program. Please visit aefpweb.org for more information regarding membership and conference registration.
How much time will I have for my paper presentation?
Sessions are 1 hour and 30 minutes, and include 3 or 4 papers. The expectation is that each paper presentation will take approximately 15 minutes, with time for discussant responses and audience questions. The session chair will determine the precise time allocations.
Do I need to provide a copy of my paper?
Yes, you need to provide a copy of your paper if you are paper presenter. Please upload a copy to the website by March 1, so discussants, chairs, and audience members have an opportunity for review. Papers not uploaded by March 1 are at risk of being removed from the printed program, unless you contact us with a valid reason.
What audiovisual equipment will be provided?
All rooms will have LCD projectors and screens, and this year, laptops, although session rooms will not have internet connections. Please work with your chair and other session participants to determine how best to get your presentations on the room's computer (you may opt to use your own computer, although it's not recommended if at all possible).
What if I have to cancel?
- We are planning on a terrific conference. Last minute cancellations hurt the other participants in the session. So, please cancel early if you think you will not be able to make it.

Poster Presentation Information and FAQs

What can I expect from the poster session?
A poster session provides one-on-one feedback on your research; AEFP’s board of directors and senior scholars are formal poster session discussants. So, you may wish to have copies of the full paper available for interested parties, or upload your paper.
When can I set up?
The poster session will be held in the general session ballroom on Friday afternoon, where the luncheon and evening reception will be. As a result, the room will not be available until after 3, and will be re-arranged immediately following the session. Please plan to take your poster with you after the session, or your poster will be discarded.
What materials should I bring?
AEFP will provide a 32" x 40" black foam core board available for pick-up anytime throughout the conference that the registration table is open. Although AEFP will provide some fasteners, please plan to bring your own fastening materials (thumbtacks, glue, tape, etc). The easels will be provided and set up in the room by AEFP staff.
Your poster will be viewed from a distance of more than three feet; your lettering should be comparable (about 1 inch high for headers). Arranging information from left to right is helpful for readers.
What if I have to cancel?
- We are planning on a terrific conference. The poster session is the largest in our history, and materials are costly. So, please cancel early if you think you will not be able to make it.

Chair/Discussant FAQs
Guidelines for chairs
Chairs have several duties prior to and during the sessions. First, please monitor the upload of papers to AEFP’s site, as this is the primary way to distribute papers. AEFP has set a March 1 date for upload. Also, coordinate getting the files onto the room's laptop provided by AEFP (there is no internet, but you may use a zip drive with all the files, or have presenters send you their presentations for one zip drive, etc).
If possible, in advance, make introductions and develop rapport among the presenters and discussants in your session. Email addresses for the participants will be available early February. Prior to sessions and/or the conference, chairs should remind participants of timing and respect for others’ time. During the session, the chair introduces the presenters, monitors time, including beginning the session on time, and monitoring the clock, which may include time reminders/guidance to presenters/discussants. Chairs sit in the front row of the audience, facing presenters. Be prepared to encourage and/or initiate audience questions.
Sessions are 1 hour and 30 minutes, and include 3 or 4 papers. The expectation is that each paper presentation will take approximately 15 minutes, with time for discussant responses and audience questions. You, as the session chair, will determine the precise time allocations. If there are 3 papers in your session, you may choose to allow 20 minutes for each presentation. If there are two discussants and four papers, please allow approximately 7 minutes for each discussant. If there is one discussant and three papers, please allow 10 to 12 minutes for the discussant.
Guidelines for Discussants
Discussant duties are to make remarks about each paper’s major issues, and may make integrative comments across papers. If specific or detailed critiques are necessary, those may be made to authors outside of the session. A policy focus is encouraged, which also helps guide audience participation by noting key points. In sessions with four papers and two discussants, each discussant will be responsible for two of the papers - determined in consultation with the session chair and the other discussant. In sessions with three papers and one discussant, the discussant is responsible for all three papers.
Discussants should be aware of the time limits set by the session chair.
Please allow yourself ample time to review session papers, which should be available for download from the AEFP website by March 1.
